Boxmoor Santa Dash - Safeguarding Policy

This Safeguarding Policy ("Policy") outlines G&F Events Ltd's commitment to ensuring the safety and well-being of all participants, particularly vulnerable individuals, during the Boxmoor Santa Dash event ("Event"). The safety and protection of all participants are of paramount importance to us. By registering for and participating in the Event, you agree to adhere to the principles and guidelines outlined in this Policy.

1. Definitions: 1.1. "Safeguarding" refers to measures taken to protect the welfare of individuals, especially those who may be at risk of harm or abuse. 1.2. "Vulnerable Individuals" include, but are not limited to, children, adults with disabilities, and individuals who may require additional support.

2. Responsibilities: 2.1. All Event staff, volunteers, and participants are responsible for creating a safe and supportive environment. 2.2. Anyone who witnesses or suspects any form of abuse or harm must report it promptly to the designated Safeguarding Officer.

3. Safeguarding Officer: 3.1. The Safeguarding Officer is responsible for receiving and acting on safeguarding concerns. 3.2. Participants can contact the Safeguarding Officer using the provided contact details to report any concerns.

4. Code of Conduct: 4.1. All participants are expected to treat each other with respect, fairness, and kindness. 4.2. Physical, verbal, emotional, or any other form of abuse will not be tolerated.

5. Reporting Concerns: 5.1. If you witness or suspect any form of abuse, harm, or inappropriate behaviour during the Event, report it to the Safeguarding Officer immediately. 5.2. Reports can be made anonymously, and individuals reporting in good faith will not face retaliation.

6. Responding to Concerns: 6.1. The Safeguarding Officer will respond promptly to any concerns reported and take appropriate actions in accordance with legal requirements and internal policies. 6.2. If necessary, external authorities will be contacted for further investigation and intervention.

7. Confidentiality: 7.1. All information related to safeguarding concerns will be handled confidentially and shared only with individuals involved in the investigation and resolution process.

8. Training and Awareness: 8.1. All Event staff, volunteers, and participants will receive training and information about safeguarding principles and procedures.

9. Record Keeping: 9.1. Accurate and secure records of safeguarding concerns, actions taken, and outcomes will be maintained as required by law.

10. Review and Improvement: 10.1. This Policy will be reviewed regularly to ensure its effectiveness and compliance with applicable laws. 10.2. Feedback from participants will be considered to continuously improve safeguarding practices.
